Capturing Creativity Week 2024: Event 2, Presentation 1: REF 2021 Open Access Portfolio Project at the University of Edinburgh

Presenter Biographies: Veronica Cano provides specialist expertise and leadership on all aspects of open access publishing to maximise compliance in-line with internal and external publishing policies at the College of Arts, Humanities and Social Sciences (CAHSS). A big part of her role is to ensure that all publication data, knowledge exchange activities, and impact information is appropriately captured and accurately recorded in Pure. Veronica provides guidance, navigation and support to the CAHSS research community on open and responsible research publishing practices and incorporating the principles for responsible research assessment into CAHSS policy and practice. Currently, Veronica co-chairs the Research Output Network at the University of Edinburgh together with the other two colleges.
Julia Mayo is a PhD Candidate in the School of Divinity at the University of Edinburgh. She acted as one of three PhD student interns who facilitated the Edinburgh College of Art (ECA) Open Access Portfolio Project, a project that led to the publication of fifty-five project-based portfolios compiled initially for REF 2021.
Anna Talley is a design historian currently undertaking her doctoral research at the University of Edinburgh, Edinburgh College of Art (ECA). In 2023-4, she assisted the College of Arts, Humanities and Social Sciences Research Office on a project to facilitate the ECA Open Access Portfolio Project that led to the publication of fifty-five project-based portfolios compiled initially for REF 2021.
Presentation Synopsis: The University of Edinburgh's practice based portfolios submitted to REF2021 are now available, published by Edinburgh Diamond. These portfolios were submitted to Units of Assessment 13 (Architecture, Built Environment and Planning) 32 (Art and Design: History, Practice and Theory) and 33 (Music, Drama, Dance, Performing Arts, Film and Screen Studies). They can be found as a series, with their own DOI and ISBN at: https://books.ed.ac.uk/edinburgh-diamond/catalog/series/eca-folios-2014-2021. This is the result of the Open Access Portfolio project, which started in June 2023 and finished in May 2024. Three PhD students were hired to clear the permissions for the images used in them. The team managed to clear the rights of 56 out of the 83 portfolios submitted. The portfolios are published with a Creative Commons licence for the text, and an All rights reserved (unless otherwise specified) licence for the images. The Open Access Portfolio team had to edit portfolios to ensure links to copyrighted works and media were removed. Also, where the permissions for a small percentage of images within a portfolio could not be obtained, the team edited the portfolio layout (blurring, removing, or replacing images as necessary) to enable the portfolio to be shared without compromising portfolio layout or integrity. This session will focus on the lessons learned from this project, and what requirements for researchers we are taking forward for REF2029.
